Feature release: Smarter triggers and touchless automation in Helpdesk

Triggers, our latest release in Helpdesk, brings you even closer to a touchless vendor query management process.

What’s new in Helpdesk? 

Helpdesk is an Accounts Payable ticketing tool that understands vendor emails, creates tickets and generates AI responses to relieve your AP team of major inbox-stress.

Earlier this year, we released our Triggers feature to help you automatically resolve more tickets quicker by automating responses when a ticket is created and when a new message is received.  

Now, we’ve expanded Helpdesk Triggers to support more complex workflows and deliver intelligent automation throughout the entire ticket lifecycle — not just when a ticket is created or a message is received.

You can now:

Trigger workflows based on ticket updates – not just new tickets or messages received.

Why is this important? Automate responses and actions not just at the start of a ticket lifecycle, but throughout it.

Use multiple conditions to control automation – including vendor name, language, attachment type, ticket category and more. 

Why is this important? Automate only when all the right criteria are met and avoid false positives or unwanted actions. 

Apply multiple actions within a single trigger – like assigning a ticket, forwarding to a mailbox, sending a templated reply and updating ticket fields. 

Why is this important? Automate full-ticket flows, so nothing gets missed and everything moves faster—with less effort from your team. 

Toggle triggers on or off without deleting them – ideal for testing, seasonal workflows or scheduling future automations.

Why is this important? Toggling triggers on and off gives you flexibility to pause workflows without deleting them, which is perfect for testing, seasonal use or keeping setups ready for later. 

These enhancements empower AP teams to resolve more tickets with less manual effort and help your team move closer to truly touchless ticket resolution.

We’ve built these features to reflect the real-world complexity of vendor communication. With enhanced triggers, you can create workflows that adapt to your organisation’s specific needs without relying on rule-based settings. 

Here are a few ways customers are already using them: 

1) Automatically send a thank-you email to vendors when a ticket is created, including the ticket number for easy tracking. 

2) Forward messages based on attachment type (e.g. invoices or statements) to the correct system or folder. 

3) Sort incoming emails to specific mailboxes based on content, e.g. Statements mailbox, whilst sending a templated reply about inbox guidance. Assign priority vendors to specific team members and update ticket priority and category in one step. 

4) Send a templated feedback request automatically when a ticket is resolved.
